The Office Administrator’s role is to ensure the smooth operation of the UK business in terms of supporting the sales and application engineering functions. The role will ensure that both the office and staff work efficiently in order to achieve the principal objective for the UK which is to meet its revenue goals.

Tasks

The tasks to be undertaken can be varied and are not necessarily limited to those described below. Of fundamental importance are:
  • Ensuring that monthly maintenance quotations are issued on time and that they are followed up with the customer to ensure orders are placed
  • The registering of new leads onto the inouse system and the fulfilment of the lead requests
  • Ensuring that invoices are paid on time – to ensure that the company cash flow is being managed

Additional tasks include:
  • General office administration
  • Opening mail, message handling, purchasing office equipment, consumables, refreshments, photocopying etc
  • Information dispatch
  • Database management for order processing and invoicing
  • Switchboard services, responding to customers via telephone & email
  • Shipping, receiving and stock management of material
  • Helping with events arrangements
  • Booking travel arrangements
  • Filing of financial documents to book keeping
  • Recording expense claims
  • Any other reasonable task as requested by the Managing Director

Context

The UK Office is responsible for developing sales in keeping with an annual plan. The Office Administrator will play a key role in supporting this activity whilst:
  • Acting at all times in a professional manner
  • Working within prescribed budgetary constraints – the business must also be profitable
  • Exceeding customer expectations in terms of service and delivery

Standards of Performance
  • Achieve Maintenance revenue target
  • No delays on cash collection caused by administration
  • All leads to be processed and actioned within 5 working days
  • No mistakes on bookkeeping entries
